Job Description

As the Front Desk Receptionist you are responsible for managing first (and last) impressions for all prospects, residents, families, staff members & future staff members, and for taking every opportunity to show them how important they are to us. You will assists all departments and residents with their questions, including helping them finding relevant resources and will provide administrative support to various departments within the organization.

Other Essential Functions:

  • Maintains visibility at front desk continuously during shift.
  • Graciously greets all residents, visitors and staff members. Anticipates questions and needs and politely assists.  
  • Promptly answers telephone, directing calls to appropriate persons or relaying messages.
  • Takes room service, staff and guest meal orders and communicates to dietary staff. 
  • Monitors Fax/copier/printer machine, directing incoming communications to appropriate persons. Maintains products and coordinates repairs, troubleshooting issues as needed.
  • Responds to fire alarm panel when active and directs staff to appropriate area.
  • Responds to emergency situations. Obtains necessary information and responds in a calm, professional manner.
  • Monitors visitor access & maintains security awareness.
  • Arranges coverage of reception desk during break and lunch periods.
  • Performs clerical duties as directed, looking for opportunities to assist departments during down time.
  • Creates and designs a variety of forms/invites for multiple departments according to our brand standards. Is proficient in Office and other systems as directed to use.  
  • Maintains inventory control system for all office supplies and orders accordingly within set parameters.
  • Be knowledgeable of all calendar events including, but not limited to outlook and life enrichment calendars.  Maintain and update as needed. 
  • Maintains a clean, presentable, warm and inviting lobby.  Attends to refreshment station as needed, ensuring items are replenished and area is free of trash. 
  • Maintains cash box and records charges as needed, using designated community system.
  • Communicates in a professional, clear and concise way in all methods of communication, following our Language Guidelines.
  • Relays necessary information following community specific crossover guidelines to other receptionists and department managers as directed.

Schedule:

Thursday afternoon 1:00-5:30 PM, Friday and Saturday 8:30 AM - 5:30 PM. This will be an every weekend shift. Additional hours will be available to cover other staff time-off requests.  

Qualifications:

  • High Scholl Diploma
  • Professional clerical experience (preferred)
  • Ability to effectively present information and respond to questions from groups of managers, residents, employees, and the general public.
  • Solid written & verbal communication skills.
  • Working knowledge of computers & programs appropriate to position.
  • Ability to prioritize & organize assignments. 
  • Ability to interpret a variety of instructions furnished in written, oral, electronic, or schedule form. 
  • Ability to solve practical problems and deal with a variety of situations where only limited standardization exists
