Job Description:

The Springs at Grand Park is seeking a warm, friendly and professional individual that is customer service minded and detail oriented, to join our team as a Receptionist 4 days per week, and Community Relations Assistant (sales) 1 day per week. Here at The Springs Living, first impressions are so important. Our receptionist is the first-person residents, guests and employees see when they arrive and the last person they see as they depart. Your cheerful, warm voice will be appreciated as you answer incoming calls and greet and direct our residents and visitors. Our receptionist and community relations assistant is also tasked with special projects and clerical duties; therefore, we’re seeking an individual with a strong combination of intrapersonal and clerical skills. Be ready to “be on stage” and extend The Springs Living values to everyone that calls in or passes by. An ideal candidate has a heart for seniors, a drive for customer service and a passion for doing the right thing.

Responsibilities:

  • Greeting all visitors - residents, families, vendors and staff - with a smile and by name
  • Answering a variety of questions from residents, families, vendors and staff with certainty and follow up when necessary
  • Positively communicating with residents, families, vendors and staff in person, over the phone and via email
  • Assisting the Business Office Manager and other departments with administrative tasks
  • Ability to prioritize and handle multiple tasks and maintain calm and composure during periods of high stress
  • Comfortable responding to emergencies, and stay calm under pressure 
  • Represent the community in welcoming prospective residents, family members, referral sources and the public in a positive, helpful, and caring manner
  • Answer telephone inquiries, meet and qualify prospective residents as needed
  • Schedule tours, prepare and mail community brochures and follow‑up with contacts
  • Inputting information into the database and maintaining all leads
  • Act as backup for conduct tours to demonstrate the services, lifestyle, convenience and benefits of the community
  • Assists in creation sales brochures and ensure each area has an adequate supply

Qualifications:

  • Love for seniors!
  • Successful record in a customer service/front desk role
  • Sales & Marketing experience preferred
  • Event Planning experience preferred
  • Ability to effectively present information and respond to questions from groups of managers, residents, employees and the general public
  • Ability to interpret a variety of instructions furnished in written, oral, electronic, or schedule form
  • Proficient PC skills including e-mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc.
